Administrator – Bodleian Libraries

The Bodleian Libraries are seeking to appoint an enthusiastic and highly organised administrator to join them, providing administration support to the Facilities team.

Reporting to the Buildings Manager you will be based on at the Bodleian Old Library site, which also consists of the Weston Library, the Radcliffe Camera, and the Clarendon Building.

This role has supervisory support from the Facilities Team Administrator, working with them to act as the first point of contact for the Facilities Services department. You will help ensure the smooth running of facilities administration tasks and the Facilities Services Helpdesk. Key tasks include general administration support, processing purchase orders, helpdesk service requests, overseeing lost property, preparing rosters, time sheets and taking meeting minutes.

You will provide administration support to the Security and Facilities Management teams by providing visitor admission, car parking allocation, and preparing time-sheets, rotas, training records. You will also support meeting by booking meeting rooms and taking meeting minutes.

You will be an excellent communicator with strong organisational skills. You will have experience of working in a customer facing position, communicating with external and internal customers, and an ability to maintain performance under pressure. Familiarity with Microsoft Office applications is essential, and knowledge of finances systems (oracle) desirable.

This is a full-time, permanent position, working 36.5 hours per week (Monday-Friday).
