Events and Facilities Coordinator

Bicester Motion are looking for an Events and Facilities Coordinator to join their team.


Reports into:              Facilities Manager & Associate Director, Events

Department:               Estates/ Events


Purpose of the role

Operational responsibility for logistical set up requirements for events at Bicester Motion and to be point of contact for specialists and clients as weekend Duty Manager over the duration of Weekends, this includes general site support and maintenance.



  1. Due to the nature of events, this roles hours will be Thursday – Monday.
  2. Deliver the logistical requirements for the Events & Track calendar in conjunction with the team, ensuring it’s efficient operation and timely communication.
  3. Ensuring the facilities are ready and set up for Events and maintained for the duration of the event.
  4. Ensuring basic estate management duties are carried out as required Thursday – Monday including waste management/ site cleanse / general maintenance.
  5. Be the first point of contact over the weekends for Events clients and specialists on site for any issues and problem resolution or escalation.
  6. To ensure breakdown of events is completed in line with venue and client requirements.
  7. To review processes to refine and ensure efficiencies.

Person Specification

  • Enjoys taking ownership and delivering results
  • Holds a current valid driving license
  • Is willing to be trained in using the Estate vehicles
  • Previous facilities or public event running experience is critical
  • Must enjoy working outdoors in all seasons.

Likely Background & Qualifications

  • Prior experience working in a fast-paced environment
  • Has prior event management experience
  • Likely to have had a career in facilities, logistics, hospitality, customer/public facing roles or come from a Venue
  • Is happy to undertake any tasks ranging from setting up for events, managing contractors, dealing with demanding customers, site cleaning and maintenance.
